Desktop Faxing
Overview
It is possible to fax electronic documents directly from your computer without printing them out first. This is called "desktop faxing," to distinguish it from "walkup faxing" in which hardcopies are physically inserted into the copier. To reduce paper consumption, desktop faxing is encouraged. Documents are sent to a "printer" which actually sends them as faxes rather than printing them out.
Known Issues
- Issue: No confirmation page will print out after a fax is sent.
- Solution: You can verify the fax was sent successfully by viewing the fax history via your Web browser. Click here to learn how to view the fax history.
- Issue: Cannot fax from off campus.
- Solution: None at this time. Just like you cannot print to printers on the school's network from home, the same goes for printing to the Desktop Fax network printer.
Procedure
Fax From Your Computer

| Open the document that you wish to fax |

| Under the menu, select just as if you wanted to print the document |

From the list of printers, select Desktop Fax

| After adjusting print options (e.g. Page range to fax), click the OK button |

On the LAN-Fax window that appears (see below), you can begin to enter & add destinations.
Either highlight a contact from your address book and click the Set as Destination button or manually type in the fax number and click the Next Number button. You can send the fax to multiple numbers by adding them to the list of destinations.
Make sure you include the "8" prefix when entering the telephone number (e.g. "8-1-847-555-5555")

Tip 1: Click the Address Book... button to create an address book (by default created in your T:\LAN-Fax Utilities\Address Book\ folder) & add in frequently used fax numbers. You can also save groups of numbers.
Tip 2: Click the Option... button to specify the fax to send at a specific time instead of immediately. You can also put your name in the User ID field to help identify your fax in the job history (it will remember your User ID setting for future faxes).
Tip 3: Place a checkmark next to the Attach a Cover Sheet option if you want to attach a cover sheet to the beginning of the fax. You can specify the information printed on the cover sheet by clicking the Cover Sheet... buttton.
Tip 4: Place a checkmark next to the Preview option to display a preview screen after clicking Send. |

Find your fax by comparing the date & time you initiated your fax

Tip: If you entered your name in the User ID field when sending the fax, it will appear in the log to assist with finding your fax record. Otherwise, a question mark will appear. |
| If you see that the fax's status is marked as complete, your fax has been sent successfully. |
